DOT Audit

How do I prepare for a DOT audit?

DOT audit preparation starts with organizing your DQF, driver logs, vehicle inspection records, and drug testing documentation before the auditor arrives.

DOT audit preparation starts with organizing five document categories before the auditor arrives: Driver Qualification Files, Hours of Service records, drug and alcohol testing documentation, vehicle maintenance records, and your accident register.

FMCSA auditors typically arrive with 48 hours' notice or less. If your records are disorganized or incomplete, there's no time to fix gaps after notification. Audit-ready carriers organize these records on an ongoing basis — not just when an auditor calls. A single missing document in the wrong category can shift an audit from Satisfactory to Conditional.

FMCSA / DOT Guidance

FMCSA Compliance Reviews examine six safety fitness categories: driver qualifications (49 CFR Part 391), hours of service (49 CFR Part 395), drug/alcohol testing (49 CFR Part 382), vehicle maintenance (49 CFR Part 396), financial responsibility (49 CFR Part 387), and accident records (49 CFR 390.15). Auditors can request up to 12 months of records in each category.

Common Mistake

Many operators prepare their DQFs but overlook the drug and alcohol testing records — specifically the annual FMCSA Clearinghouse query documentation. Missing Clearinghouse query records are one of the fastest-rising audit findings since the Clearinghouse launched in 2020.
