What records does DOT ask for during an audit?

FMCSA auditors typically request DQFs, driver logs, drug and alcohol testing records, vehicle inspection reports, and accident registers.

During a DOT compliance review, auditors request six categories of records: Driver Qualification Files, Hours of Service logs, drug and alcohol testing documentation, vehicle maintenance and inspection reports, your accident register, and proof of financial responsibility (insurance).

Auditors may request up to 12 months of records in most categories. They cross-reference records across categories — for example, comparing ELD data against fuel receipts, or checking drug test dates against DQF hire dates. Inconsistencies across categories are flagged even if each record appears complete in isolation.

FMCSA / DOT Guidance

FMCSA auditors examine records under 49 CFR Parts 382 (drug/alcohol), 391 (driver qualifications), 395 (hours of service), 396 (vehicle maintenance), 390.15 (accidents), and 387 (insurance). The auditor's request typically covers a 12-month lookback period for HOS and maintenance records, and all open DQF files for current drivers.

Common Mistake

Operators often have complete records but can't locate them quickly when an auditor arrives. Disorganized records slow the audit process and create the appearance of missing documentation. Maintain a single filing system — physical or digital — where every record category is accessible within minutes.
